RECOMMENDATION TO COUNCIL

Staff recommends City Council adopt a resolution to approve a contract purchase agreement with Sixty Seven Solutions, Inc. for operational support of the City's Enterprise Asset Management (EAM) system.  Staff requests authorization for two additional one-year renewals of the contract purchase agreement without further Council approval contingent upon Council approval of future year budgets, or unless City staff determines that continuing with the same vendor is not in the City's best interest.
 
BACKGROUND

The City’s Enterprise Asset Management (EAM) system provides tracking and maintenance of critical department assets, providing the ability to report on regulatory compliance, work order efficiencies, and cost benefit analysis.  The EAM program will complete its final stage of implementation and will transition to an operational support structure.  Improvements to Utilities’ asset groups will continue, as well as support for critical integrations for the AMI project.

 

Sixty Seven Solutions has provided specialized expertise in resolving production support issues, improving system performance, and advancing project tasks and goals. Upon approval of this service agreement, Sixty Seven Solutions, Inc., will assist IT and the EAM project team to manage system improvements, including software and integration upgrades, transition to site specific work types, and process efficiencies. Sixty Seven Solutions, Inc., will also assist and train the City to facilitate the support and maintenance of the EAM system for the long term.
 
FISCAL IMPACT

The contract purchase agreement is not to exceed $250,000 per year for a total not-to-exceed amount of $750,000 over the three-year period. Funding for this project is from Environmental Utilities and Electric funds.

ENVIRONMENTAL REVIEW

The California Environmental Quality Act (CEQA) only applies to projects which have the potential to cause a significant effect on the environment.  Where it can be seen with certainty that there is no possibility that the activity in question may have a significant effect on the environment, the activity is not subject to CEQA. (CEQA Guidelines §15061(b)(3)).
